Tutorial

How do I get coaching applicants to book a call automatically?

Connect the application to your CRM so each submission creates the contact, tags the answers and scores the lead. Good fits see your calendar straight away and get the link by text and email. Booking fires the confirmation and reminders from their own workflow. Applicants who do not book get a few follow ups, then a clean exit.

What happens the moment someone submits the application?

Example, not a client result. This is the pattern Adam builds and documents. It is not a measured outcome.

How does the score decide who sees the calendar?

The application scores the answers that show how much the person needs help now. Low scores go to nurture. Medium scores see a short video page before the calendar. High scores see the calendar straight away. Objection tags, such as price sensitive or a bad past experience, change what the follow up says. Only hard stops end the conversation.

What should happen after they book?

  • Book on your GoHighLevel calendar, not a separate scheduling tool, so the booking lives on the contact.
  • Let the booking move the stage and add the tag.
  • Run reminders in their own workflow, separate from nurture, so messages never collide.
  • Use the confirmation page: a short pre call video and a checklist of what to bring.
  • If your team books a call by hand, start the reminders by hand too. HighLevel's Customer Booked Appointment trigger only fires when the contact books through the booking link.

What happens if they apply but do not book?

They get a few pushes, then a clean exit. Adam does not publish fixed timings for this, because the right pace depends on how the person responds. The principle is the same every time:

  • A few follow ups that give one clear next step.
  • If there is still silence, one clean exit message, then stop.
  • A reply of STOP removes the contact from everything, not just the current sequence.

Where does this flow usually break?

  • Nurture and reminders in one workflow, so a lead who booked still gets “are you still interested?” messages.
  • Calls booked by hand that never start the reminder workflow.
  • Landline numbers on the application, so texts go nowhere. Ask for a mobile.
  • A lead marked dead after one Instagram or WhatsApp message with no call attempt.
  • No STOP handling, so an opt out in one sequence keeps getting messages from another.

Who is this for, and who is it not for?

For

  • Online coaches who sell on a call and want applicants booked without manual back and forth.
  • Coaches already using, or moving to, GoHighLevel.
  • Coaches with enough applications that hand booking slows them down.

Not for

  • Coaches who sell from a payment link with no call.
  • Coaches without a priced, stable offer to send people to.
  • Coaches who will not keep the calendar and follow up in one CRM.

Common questions

Connect the application to your CRM, score the answers, and send good fits the booking link by text and email straight away. Let the booking start its own reminder workflow.

A few follow ups with one clear next step, then one clean exit message, then stop. The pace depends on how the person responds, so Adam does not use fixed timings for it.

No. Keep reminders in their own workflow so someone who booked never gets nurture messages asking if they are still interested.

If someone on your team booked it by hand, the Customer Booked Appointment trigger does not fire. HighLevel says it only fires when the contact books through the booking link.

In Adam's builds, a STOP removes the contact from every workflow, not only the one that sent the message.
